Changes to Booking for 2025

Dear Campers,

Booking will open on 26th February 2025.

Collect Your Pre booking information

To avoid disappointment at a later date (making amendments to the booking) we strongly recommend that you gather the following information prior to booking:

A) Number and type of accommodation.

B) An accurate summary of your campsite party; this needs to include all anticipated attendees. If bringing a youth group, we understand that names will not be final, but a realistic attendee count is important. Names can be changed prior to camp.

Please ensure that you book the CORRECT week. You will be amazed how many chose the default Week 1 when they want to come in Week 3.

If you anticipate forming  a group of friends or a church group, then please email Bookings@crosthwaitecamp.org.uk with the group name e.g. “St Pauls – Town name” so that an individual group can be pre-created. Include the town, as there are many churches with the same name across the country.

If you have a large group, and you are planning to book them all on a single booking, please email Sarah Ward,  Bookings@crosthwaitecamp.org.uk  for a “Bulk Load spreadsheet” that you can pre-populate. A copy of the spreadsheet is here Campers

Bookings

A bookee will need to firstly confirm that they have a valid email, via a code that the system will issue to the originating email.

The bookee will be able to make bookings for their family, friends or group. They will be able to complete and submit the booking.

The booking team will then review the booking and may approve, query, or reject the booking as appropriate.

Due to delays with planning permission, you may receive a confirmation of a provisional booking, pending planning permission. Provisional bookings may be cancelled if the planning application is rejected. Payment will not be requested until planning permission has been approved.

Confirmations will be sent by the system at all stages.

Upon full approval of a booking a payment link will be issued.

Payments

A payment link will be valid for 7 days. The bookee must pay for their booking within 7 days of an approved link being issued.

Daily system reminders will be sent to the bookee, counting down from Day 7 to Day 1 with requests for payment.

If NO payment is made by day ZERO, the booking will be cancelled and the bookee shall forfeit the booking.

Payments shall be Via SUMUP and NOT Paypal. This should aid the payment gateway process.

Queries and Telephone transactions

No bookings or payments can be taken by phone. All booking queries must be emailed to the bookings secretary at

Bookings@crosthwaitecamp.org.uk

Please remember that we are a volunteer team and are NOT paid to run the camp
